Stop Losing Important Messages: How to Use Bookmarks in Microsoft Teams

Tired of scrolling endlessly through Teams chats? Microsoft's bookmark feature makes it easy to save important messages and find them again later.

If you’re like most Microsoft Teams users, you’ve probably experienced this situation:

You receive an important instruction, meeting link, customer request, project update, or technical note in Teams. You tell yourself you’ll come back to it later.

A few days later, you need that message again.

Now you’re scrolling through dozens of chats and hundreds of messages trying to find it.

Fortunately, Microsoft has introduced a simple solution: Bookmarks (Saved Messages) in Teams.

This feature allows users to save important messages and quickly retrieve them later, making it easier to stay organized and avoid wasting time searching through conversations.

Why Bookmarks Are So Useful

Teams has become the central communication platform for many organizations.

Project discussions, support requests, customer updates, meeting notes, and action items can all end up buried inside busy chat conversations.

Bookmarks provide a personal way to save important messages without affecting anyone else.

Think of them as sticky notes for Teams conversations.

Some common examples include:

  • Customer requests requiring follow-up
  • IT support instructions
  • Project deadlines
  • Meeting action items
  • Important announcements
  • Frequently referenced procedures
  • Training resources
  • Shared files and links

How to Save a Message

Saving a message takes only seconds.

Note that the below steps may differ ever so slightly depending on your version of Teams, but the same options should be visible.

Hover over the message you want to save.

Click the three-dot menu (More Options).

Select Save this message.

The message is instantly added to your personal saved messages list.

Accessing Your Saved Messages

Once you’ve saved messages, Teams creates a dedicated Saved/Quick view section.

From there you can:

  • View all saved messages
  • Filter saved items
  • Open a message within its original conversation
  • Quickly jump back into the chat or channel where it originated

This eliminates the need to manually search through long conversations.

Great Uses for Businesses

Customer Communications

Sales and support staff can save customer requirements and requests for follow-up.

Project Management

Project managers can bookmark decisions, approvals, and action items discussed during team conversations.

IT Support

Technicians can save troubleshooting notes, configuration details, and recurring solutions.

Human Resources

HR staff can store important policy updates and employee communications.

Personal Productivity

Employees can create a personal collection of important information without cluttering their inbox or notebook.

What Happens If a Message Changes?

Microsoft designed the feature to remain connected to the original conversation.

If a message is edited, the saved version reflects those changes.

If the original message is deleted, Teams still indicates that the message existed while respecting organizational retention policies.

Small Feature, Big Impact

Many productivity gains don’t come from major software changes. They come from small improvements that save time every day.

Bookmarks are one of those features.

By spending a few seconds saving important messages when they appear, employees can avoid countless hours spent searching later. For busy teams handling customer support, project coordination, and daily collaboration, that efficiency quickly adds up.

If you use Microsoft Teams regularly, the Bookmark feature is well worth adding to your daily workflow.
